Privacy Policy

Introduction

This Privacy Policy describes how SetupMyPOD ("SetupMyPOD," "we," "us," or "our") collects, uses, shares, and protects your personal information when you visit https://setupmypod.com, submit a form, book a call, or purchase our print-on-demand setup services.

We use your personal information to provide and improve the Services. By using the Services, you agree to the collection and use of information in accordance with this Policy. This Policy should be read together with our Terms of Service and our Cookie Policy.

1. Interpretation and Definitions

  • Site means the website at setupmypod.com, including all of its pages and subdomains.
  • Services means the Site together with the print-on-demand store setup, design, artwork, product upload, integration, and fulfillment configuration services we provide.
  • Personal Data means any information relating to an identified or identifiable individual.
  • Usage Data means data collected automatically when you use the Services, such as pages viewed and time spent on them.
  • Client means a person or business that purchases our Services.
  • End-Customer means a shopper who buys from a Client's store after launch.
  • You means the individual using the Services, or the company or other entity on whose behalf that individual is using them.

2. Scope of This Policy

This Policy covers information we collect about visitors to the Site, people who apply or enquire about our Services, and our Clients.

It does not cover the stores we build. Once your store is handed over, you operate it and you are responsible for the privacy notice, cookie banner, and data handling on that store. It also does not cover the Third-Party Platforms your store runs on, such as Shopify, Printify, or Printful, each of which has its own privacy policy that applies to your use of it.

3. Information We Collect

We collect what you choose to submit through our application forms, intake forms, exit-intent forms, booking flow, and email. Depending on which form you use, this may include:

  • Contact details — name, email address, phone number, and country.
  • Business details — company or brand name, store URL, ecommerce platform, print partners, niche, target audience, product direction, SKU or listing counts, order volume, and revenue range.
  • Project details — your goals, budget readiness, design needs, technical requirements, integration needs, and free-text answers describing your idea or the problem you want solved.
  • Booking information — the details you provide when scheduling a call through our booking provider, including your selected time and time zone.
  • Marketing consent — whether you agree to be contacted, and whether you are willing to provide a testimonial or case study.
  • Correspondence — the content of emails and messages you send us, and any files or brand assets you share for a project.

Information collected automatically

  • Usage Data — pages visited, referring page, links and buttons clicked, scroll depth, time on page, and the call-to-action or page a form submission originated from.
  • Device and connection data — IP address, browser type and version, operating system, device type, screen size, language, and approximate location inferred from IP address.
  • Session recording and error data — some of our analytics providers record how you interact with pages and capture technical error information to help us diagnose problems.

Business-visitor identification

We use a business-audience identification tool that may match a visitor's network or device signals against third-party business databases to tell us which companies, and in some cases which business contacts, have visited the Site. We use this only for business-to-business outreach and marketing analysis. If you would prefer not to be identified this way, contact us at hello@setupmypod.com and we will suppress your details.

Payment information

Payments are processed by third-party payment processors. We do not collect or store your full payment card number. We receive only confirmation of payment and limited transaction details such as amount, currency, date, and the last digits of the card.

Information we do not intentionally collect

We do not ask for and do not want sensitive Personal Data such as government identifiers, health information, biometric data, or precise geolocation. We also do not knowingly collect Personal Data about your End-Customers. Please do not send us information of this kind unless we have specifically asked for it.

4. Cookies and Tracking Technologies

We use cookies, local storage, pixels, and similar technologies to operate the Site, remember your preferences, measure how the Site performs, and support our marketing. These fall into four broad categories: strictly necessary, preference, analytics and performance, and advertising.

You can control cookies through your browser settings. Blocking strictly necessary cookies may stop parts of the Site from working. Full details are in our Cookie Policy.

5. How We Use Your Information

We use Personal Data to:

  • Review your application and decide whether we can take on your project.
  • Respond to enquiries, schedule and hold calls, and prepare quotes and custom scopes.
  • Deliver the Services, including designing artwork, building and configuring your store, and connecting your suppliers.
  • Process payments and keep records of transactions.
  • Communicate with you about your project, including questions, drafts, approvals, and delivery notices.
  • Send marketing emails about our services and offers, where you have agreed or where permitted by law. You can unsubscribe at any time.
  • Understand how the Site is used, measure the performance of our pages and campaigns, and improve our offers and content.
  • Detect, investigate, and prevent fraud, abuse, spam submissions, and security incidents.
  • Comply with legal obligations and enforce our Terms of Service.
  • Publish testimonials or case studies, where you have given permission.

6. Legal Bases for Processing

If you are in the European Economic Area or the United Kingdom, we rely on the following legal bases:

  • Performance of a contract — to deliver the Services you ordered and to take steps at your request before entering a contract.
  • Legitimate interests — to operate and secure the Site, understand how it is used, prevent fraud, and market our services to businesses, balanced against your rights.
  • Consent — for non-essential cookies, marketing emails where consent is required, and publishing your testimonial. You may withdraw consent at any time.
  • Legal obligation — to meet tax, accounting, and other legal requirements.

7. How We Share Your Information

We do not sell your personal information for money. We share it only as described below.

  • Service providers. Companies that help us run the business, under agreements that limit their use of your data: website hosting and infrastructure, analytics and product measurement, session recording and error monitoring, business-visitor identification, internal team messaging (form submissions are routed to our team's workspace), call scheduling, email delivery, payment processing, and file storage.
  • Advertising and measurement partners. Where advertising or measurement tags are active, limited data such as pseudonymous identifiers, page views, and conversion events may be shared to measure campaign performance. Under some US state privacy laws this may be considered "sharing" or "targeted advertising," and you may opt out as described in Section 12.
  • Contractors. Designers, developers, and specialists who work on your project under confidentiality obligations.
  • Third-Party Platforms. Where you ask us to configure your store, we act inside your own accounts on platforms such as Shopify, Printify, or Printful. Data in those accounts is governed by your relationship with that platform.
  • Legal and safety. Where required by law, subpoena, or a government request, or where necessary to protect our rights, safety, or property, or that of others.
  • Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to this Policy continuing to apply.
  • With your direction. Any other sharing you ask us or authorize us to make.

8. Your Store's End-Customers

Our Clients own and operate their own stores. We build and configure a store; we do not run it after handover and we do not intentionally receive or process End-Customer orders, payment details, or contact records.

If we incidentally encounter End-Customer data while working inside your store, we treat it as confidential, use it only as needed to complete the work you asked for, and do not retain it. As the store owner you are the controller of your End-Customers' data and are responsible for your own privacy compliance.

9. How Long We Keep Your Information

We keep Personal Data only as long as we need it for the purposes described in this Policy.

  • Enquiries that do not become projects — typically up to 24 months, so we can follow up and understand our pipeline.
  • Client project records and correspondence — for the duration of the engagement and a reasonable period afterwards for support, portfolio, and dispute-resolution purposes.
  • Financial and transaction records — for as long as tax and accounting law requires.
  • Analytics data — according to the retention settings of each analytics provider, generally in aggregated or pseudonymous form.
  • Project working files — deleted a reasonable period after completion or termination, so keep your own copies of anything you need.

We may retain information for longer where required by law or where necessary to establish, exercise, or defend a legal claim.

10. International Transfers

We operate online and our service providers are located in several countries, including the United States. Your information may be transferred to, stored in, and processed in a country other than your own, where data protection laws may differ from those in your jurisdiction.

Where we transfer Personal Data out of the European Economic Area or the United Kingdom, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision, together with reasonable technical and organizational security measures.

11. Security

We take reasonable technical and organizational measures to protect Personal Data, including encrypted connections, access controls, and limiting access to those who need it. Credentials and access you grant us for your store are used only to perform the Services.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please protect your own accounts, use strong unique passwords, enable two-factor authentication where available, and revoke access you no longer need.

12. Your Choices and Controls

  • Marketing emails. Unsubscribe using the link in any marketing email, or email us. You will still receive service messages about an active project.
  • Cookies. Adjust your browser settings to block or delete cookies.
  • Analytics and session recording. Browser-level tracker blocking and opt-out preference signals such as Global Privacy Control are honored where our providers support them.
  • Business-visitor identification. Email us to be suppressed from this, as described in Section 3.
  • Testimonials. Ask us at any time to stop using your testimonial or project in future marketing materials.
  • Access, correction, and deletion. Email us to request a copy of your information, correct it, or have it deleted.

13. Your Privacy Rights

Depending on where you live, you may have some or all of the following rights: to know what Personal Data we hold and how we use it; to access a copy of it; to correct inaccurate data; to delete it; to receive it in a portable format; to object to or restrict certain processing; to withdraw consent; to opt out of targeted advertising, the sale or sharing of personal information, and certain profiling; and not to be discriminated against for exercising these rights.

If you are in the EEA or UK, you also have the right to lodge a complaint with your local data protection authority. If you are in a US state with a comprehensive privacy law, including California, Colorado, Connecticut, Virginia, and others, you may exercise the rights those laws give you, and you may designate an authorized agent to act for you.

To exercise any of these rights, email hello@setupmypod.com with enough detail to identify your records. We will respond within the time your law requires, and we may need to verify your identity before acting. We will not charge you for a reasonable request or treat you differently for making one.

14. Do Not Track

Some browsers send a "Do Not Track" signal. There is no industry standard for how to respond to it, so we do not currently respond to those signals. We do honor recognized opt-out preference signals such as Global Privacy Control where our providers support them.

15. Children's Privacy

The Services are intended for adults in business. We do not knowingly collect Personal Data from anyone under 18. If you believe a child has provided us with Personal Data, contact us and we will delete it.

16. Third-Party Websites and Links

The Site links to third-party websites and tools we do not control, including ecommerce platforms, print providers, scheduling tools, and social media. We are not responsible for their content or privacy practices. Review their privacy policies before providing information to them.

17. Changes to This Policy

We may update this Policy from time to time. The "Last updated" date at the top shows when the current version took effect. Material changes will be posted on this page and, where appropriate, notified to you by email. Your continued use of the Services after a change means you accept the updated Policy.
